Acceptable Use Policy

The rules for registering and using Sender IDs on Hellio Messaging, how we screen them, and what happens when the rules are broken.

Overview

A Sender ID is the short name that appears as the "from" label on the messages you send. Because recipients trust that label, Sender IDs are tightly regulated. This policy explains which Sender IDs you may register, how we check every registration, and the consequences of trying to register prohibited ones. It forms part of, and should be read together with, our Terms and Conditions.

1. Prohibited Sender IDs

You may only register Sender IDs that represent your own business, product, or brand, and that you are legally entitled to use. The following are prohibited and will be blocked:

  • Impersonation. Names of banks, mobile-money or telecom operators, government bodies, or any company or brand you do not own or are not authorised to represent (for example a bank name, a telco name, or a well-known consumer brand).
  • Scam and prohibited wording. Lotteries, jackpots, prizes, "free cash", quick loans, forex, cryptocurrency, betting or gambling, adult content, and similar deceptive or high-risk promotions.
  • Random or nonsensical names. Gibberish strings that do not represent a real business or product. These are held for manual verification and may be refused.
  • Anything unlawful, misleading, or intended to defraud, harass, or deceive recipients.

If you are the genuine owner of a protected brand, you may register it by providing valid ownership or authorisation documents; our team grants access to verified owners.

2. Screening & AI Review

Every Sender ID you submit is screened automatically against our fraud rules and by an automated (AI) classifier that detects impersonation, scam wording, and nonsensical names. Clean registrations proceed to manual approval. Registrations that resemble a protected brand, or that are submitted in an unusually large batch, are flagged for a person to verify before approval.

Approval is always a manual decision. No Sender ID goes live until it has been reviewed and approved by our team (a requirement of the network operators and the regulator).

3. Registration Limits

To prevent abuse, the number of new Sender IDs you can register is rate-limited (currently up to 10 per hour and 20 per day per account). Registering many Sender IDs in a short burst is a strong spam signal, so a large batch is automatically held for manual verification even if each name looks acceptable on its own. If you have a legitimate need to register more, contact support.

4. Warnings & Account Blocking

Attempting to register a prohibited Sender ID (impersonation or scam wording) is a violation. Each violation is recorded and you are warned. If you continue after repeated warnings, your account will be permanently blocked.

Specifically, after 3 clear violations your account is automatically locked: you can no longer sign in or send messages. We show you how many warnings remain before this happens. Blocks are reviewed by our team and can be reversed if made in error, so if you believe your account was blocked by mistake, contact support.

5. No Refund on Block

If your account is permanently blocked for repeated prohibited Sender ID registrations or other abuse of this policy, any prepaid balance, credits, or bundles on the account are frozen and non-refundable. You will not be entitled to a refund of unused funds. This consequence is a deterrent against fraud and impersonation and is in addition to any other rights we have under the Terms and Conditions.

6. Data & AI Processing

To operate the checks described above, we process the Sender IDs you submit and the supporting documents you upload using automated systems, including AI models, to detect fraud, impersonation, and ineligible registrations. Uploaded documents are processed only to verify your eligibility to use a Sender ID and are stored securely with restricted access. We do not use these documents for advertising and do not sell them. Automated screening assists our team; a person makes the final approval or rejection decision, and you can contact support to have any automated outcome reviewed.
